Billing Specialist

We are seeking a detail-oriented and experienced Billing Specialist to join our team as a part-time contractor. As a Billing Specialist, you will be responsible for managing all aspects of the billing process, ensuring accurate and timely invoicing, and maintaining financial records. This role requires strong organizational skills, attention to detail, and the ability to work independently. As a Billing Specialist, you will be the main point of contact for billing assistance that our customers register in our support ticketing system. You will work with Customer Success, Support, and Product to improve the experience for our customers. For this job you will need to have a firm understanding of billing practices along with a strong self-starting, dedicated mentality and the ability to maintain empathy for customers.

This is a fully remote contractor position with flexible working hours. Estimated 20 - 25 hours per week.

Customer Engineering and Success team members work closely with customers to understand their needs, address technical challenges, and provide solutions tailored to enhance their experience with the platform. Additionally, the department focuses on building strong relationships with customers through digital programs, and advocating for customer feedback to drive product improvements. Overall, the Customer Engineering and Success department at CircleCI is committed to empowering customers, driving success, and fostering long-term partnerships through exceptional support and technical expertise.

What you’ll do:

  • Respond to billing-related customer inquiries from the self-serve customer base
  • Follow up on outstanding payments and resolve billing discrepancies.
  • Maintain detailed records of invoices, payments, and billing activities.
  • Collaborate with internal teams to ensure billing accuracy and resolve customer inquiries.
  • Prepare financial reports related to billing activities as needed.
  • Stay up-to-date on billing regulations and compliance requirements.
  • Build standard methodologies for invoice and billing questions, and author Knowledge Articles that contribute to our self-serve support portal
  • Be the customer's voice and use customer feedback to help Product and Engineering improve the product billing experience
  • Stay up-to-date on changes within the CircleCI billing platform, identifying any customer related issues.

What we’re looking for:

  • 2+ years of account management or accounts receivable experience
  • Proven experience as a Billing Specialist or similar role.
  • Proficiency in billing software and MS Office, particularly Excel.
  • Strong numerical and analytical skills.
  • Excellent attention to detail and accuracy.
  • Ability to work independently and meet deadlines.
  • Good communication and interpersonal skills.
  • Knowledge of billing processes and financial regulations.
  • Demonstrated capacity to quickly absorb new concepts and methodologies
  • Strong understanding of compliance and data governance policies such as GDPR
  • Great relationship building skills and a good people person
  • Outstanding written and oral interpersonal skills

Additional great skills to have!

  • Experience working with SaaS and developer communities
  • Experience within Zendesk or other support-related platforms.
  • Experience with accounting and finance background
  • Reading / written skills in Japanese language is a plus
  • Experience with financial forecast modeling
